Before and after

The same week, twice

Nothing unusual happens in this week. That is the point. It is the ordinary work of a child-care office, first the way we used to do it, then the way it goes with Centerly.

The weekBy handWith Centerly
Monday, 8:10 am
Four parents hand in paperwork at drop-off
The papers go in the tray. Someone reads each one, finds the child, types in the doses and dates, and files the page. It takes most of the morning, between phone calls. The stack goes through the scanner. The assistant names and files every page and reads the doses. The office confirms four suggestions before the coffee is cold.
Monday, 2:00 pm
A new family wants to start on the 13th
A packet is printed. The first bill is worked out on a calculator: school days left in the month, divided, multiplied. A note goes in the diary to check it posted. The family gets a link. They sign on a phone that evening. The first bill is prorated from the start date and the agreement they signed.
Tuesday, 9:30 am
A bank payment bounces
It turns up when someone checks. A call to the family, an awkward conversation, a re-submission by hand, another diary note.It is on the morning list with the bank's reason. One click retries it on Friday; the family gets a polite note.
Tuesday, 4:45 pm
An email: "we'll be away Nov 9 to 20"
Find the policy. Was two weeks' notice given? Work out the credit. Remember to apply it to December's bill. The email is pasted in. Dates recorded, notice checked, credit lined up for December, reply drafted. One click.
Wednesday, 11:00 am
A teacher mentions her CPR class "is coming up, I think"
Check the spreadsheet. It expired nine days ago.She was reminded 60 and 30 days ahead. Her new card was read and checked the day she uploaded it.
Wednesday, 9:47 pm
A parent finds your website
She leaves a voicemail. By the time it is returned on Thursday she has toured somewhere else. The chat agent answers her questions and books a tour for Friday at 10.
Thursday, 10:15 am
A licensing representative arrives, unannounced
The director leaves her classroom observation. Five children's binders and three staff folders come out. One admission form is missing a signature. The eight files open on screen. Everything is there, because the missing signature was caught and signed three weeks ago.
Friday, 10:00 am
The tour
The director gives a good tour. The follow-up email is on the list for next week. The thank-you goes out that afternoon, and a check-in three days later. The family is in the pipeline, not in someone's memory.
Friday, 3:30 pm
The owner asks how the month looks
"I'll pull that together for you on Monday."It is on her phone: billed, collected, outstanding, occupancy by room.

The left column is how our own center's office worked for years. The right column is what Centerly is designed to do. Your week will differ; a demo is the place to walk through yours.
