Careful with the most sensitive records a center holds
A child-care center keeps children's medical details, family contacts, staff identity documents and payment information. This page says plainly how Centerly handles each, including what we do not have yet.
Access by role
Owners, directors, office staff, teachers and parents each see only what their role needs. A teacher sees her room. A parent sees only their own children. You remove a person's access the day they leave.
A full audit trail
Every change records who made it and when. Records are corrected by voiding and replacing, never by silently overwriting, so you can always show what was known on a given day.
Payment details
Card and bank details are held by a licensed payment processor or kept encrypted. Your staff and ours never see a full card number.
Identity documents
Staff documents such as a driver's license or passport used for the I-9 are stored encrypted, and document numbers are masked on screen and in logs.
Encrypted in transit
Every page and every request uses HTTPS. Sign-in sessions expire on their own.
Your own web address
Centerly runs on your school's own domain, so parents enroll, sign and pay under your name and not on a third-party site they do not recognize.
How the AI assistant is controlled
An assistant that reads documents and prepares changes needs clear limits. These are ours.
- It proposes; a person confirms. Every change the assistant suggests to a child's, family's or employee's record waits for a click from your office. The one exception is routine staff-document checks, where a document that passes every check is filed automatically. You can switch that off.
- It shows its work. Each suggestion shows the document it read and the values it found, so the person confirming can see why.
- It says when it is unsure. If a name is unclear or a page does not match anyone, the item is held for a person instead of guessed.
- Everything is logged. The activity log shows what the assistant suggested, who confirmed it and when, with an undo.
- It can be wrong. AI reads documents well but not perfectly. That is why confirmation exists, and why your center should review what it relies on.
Children's and families' privacy
- Photos and daily reports go only to the families of the children in them.
- When a parent shares a moment outside the school, they choose to, for their own child, and they control the note that goes with it.
- Parents can see and update their own family's details. They cannot see other families.
- We do not sell family or child data, and we do not use it for advertising.
Records that hold up
- Attendance marks are kept permanently. A wrong mark is voided and kept, never deleted.
- Signed forms are stored with the date, time and the version of the form that was signed. If a form changes, the old version stays on file with the signatures it collected.
- Training hours count only when the certificate is attached.
What we do not have yet
We would rather you hear this from us.
- No SOC 2 report yet. Centerly is a new company. If your purchasing process requires a SOC 2 report today, we are not there. Ask us where it stands.
- No offline mode. Centerly needs an internet connection. Keep a paper sign-in sheet for an outage, as licensing generally expects anyway.
Your responsibilities
Good software does not replace good habits. Give each person their own sign-in, remove access when someone leaves, and review what the assistant proposes before you confirm it. Centerly helps you track what licensing and employment law require; your center remains responsible for meeting them.
