Tuition Billing

Tuition that follows each family's signed agreement, prorated automatically.

Billing

What it does

  • Weekly, monthly or your own billing schedule
  • Mid-month starts, withdrawals and long absences prorated automatically
  • Sibling, staff and corporate discounts applied by rule
  • Hold-spot and registration fees posted on time

7 screens in about 30 seconds. No sound needed.

Why it matters

Tuition billing looks simple until a child starts on the 13th, a family takes two weeks off with proper notice, an older sibling moves up, or a spot is held over the summer. Those exceptions are where offices lose hours and where tuition is quietly under-billed.

Centerly bills from each family's signed tuition agreement and the dated enrollment history, so the exceptions are calculated the same way every time and shown to you before they post.

How it works

In practice

The agreement is the source

Each family's rate, schedule, discounts and credit rules come from the tuition agreement they signed.

Dates drive the bill

Start dates, withdrawals and vacations on the enrollment history turn into prorated charges and credits.

You review, then post

The billing run shows every family's charges with the reasons. Flagged lines are the ones that differ from last month.

See the whole month before it posts

Tuition, discounts and credits are worked out from each family's agreement. Prorated bills are flagged so you can check them first.

A mid-month start prorates itself

Enter the start date. Centerly counts the school days left in the month and bills that share of the monthly tuition.

Withdrawals close out cleanly

Enter the last day. The notice period is checked, the final month is prorated, and the deposit is applied to the last bill.

The signed agreement drives every charge

Rate, schedule, discounts and vacation credit live in the family's signed agreement. Each line on the bill points back to the clause behind it.

Discounts applied by rule, not by memory

Set a rule once. Every family that qualifies gets the discount on every bill, and it stops by itself when they no longer qualify.

Bill weekly, twice a month or monthly

Each family is billed on the schedule in their agreement. The same monthly tuition is split into equal charges on the right dates.

Hold-spot and registration fees, on time

A long absence switches tuition to the hold-spot fee in the agreement. The yearly registration fee posts on each child's anniversary.

A worked example

A child starts on Tuesday, October 13. Monthly tuition is $1,350. The school calendar has one closure in October, so the month has 21 school days, and 14 of them fall on or after the 13th.

StepCalculationResult
School days in the monthFrom your school calendar21
School days enrolledOctober 13 to 3014
First month's tuition14 ÷ 21 × $1,350.00$900.00
From NovemberFull monthly tuition$1,350.00

Nobody types that in. The start date goes on the enrollment history, the rate comes from the signed agreement, and the prorated line appears in the billing run with the calculation shown, for your office to approve.

The same logic runs for a withdrawal with notice, and for an absence long enough to earn a credit under your agreement.

Questions

About Tuition Billing

How is proration calculated?

From the school days in the billing period, the days the child is enrolled, and the terms of your agreement. The calculation is shown line by line.

Can we bill twice a month or weekly?

Yes. Each family can have its own schedule.

What is a hold-spot fee?

A reduced charge that replaces tuition while a child is away for an extended period and you keep the place.

What if our agreement changes?

Agreements are versioned. Families stay on the version they signed until you ask them to sign the new one.
