What it is
Centerly is software that runs a child-care center: records, attendance, tuition billing, payments, parent communication, enrollment, licensing compliance and staff onboarding. Unlike traditional childcare software, AI agents do the routine office work, and staff confirm it with a click.
What changes for us
| Area | Today | With Centerly |
|---|---|---|
| Paperwork | Staff read each form and type it in | The assistant reads, files and checks it; staff confirm |
| Licensing | Files checked by hand before a visit | Every file checked nightly against our state's rules; reminders sent automatically |
| Billing | Proration and credits worked out by hand | Calculated from each family's signed agreement and enrollment dates |
| Payments | Returned payments found and chased | Flagged the same day, with retry tools |
| Enrollment | Paper packets; questions wait until morning | Packets signed online; a chat agent answers and books tours at any hour |
| Owner's view | Reports pulled together on request | Revenue, collections and occupancy on one screen |
What it does not do
- It is not a payroll system. Staff hours are recorded for our payroll provider.
- It does not include curriculum, lesson planning or child assessments.
- It needs an internet connection.
- It is a new company, without a SOC 2 security report yet.
- It does not replace our responsibility for meeting licensing standards.
How we would switch
- Centerly's team converts our children, families, staff and billing history.
- We go live in stages: records and compliance first, billing at the start of a month, then the kiosk and parent app.
- Families set up payment once and sign any missing forms on a phone.
- We keep our current system until the first billing run in Centerly has gone through.
Cost
A written quote after a demo, covering the monthly fee, any usage-based fees and payment processing rates. We are charged only for the parts that are live. No new hardware.
Questions to settle before deciding
- How does the quote compare with what we pay now, including payment processing?
- Which part hurts us most today, and should that be the first stage?
- When is our next licensing visit, and do we want this in place before it?
- Who in our office will own the switch?
